Shopify B2B with Business Central: companies, catalogs, wholesale pricing and returns — what the 2026 connector does and where it stops
Business Central's Shopify connector now handles B2B: companies and locations mapped to customers, wholesale catalogs and price lists, tax-matching, and returns and refunds aligned across both systems. What syncs, what doesn't, how to set it up, and the decisions that decide whether it works.
Short answer: the Shopify connector is Microsoft-built, ships with Business Central, and since version 29 covers Shopify B2B properly: Shopify companies and locations map to Business Central customers and ship-to addresses, B2B catalogs and price lists map to customer price groups, a tax-matching agent reconciles tax on orders, returns, exchanges and refunds align between the two systems, and tariff codes and country of origin sync on products. What it does not do: it's an order and product sync, not a warehouse system — fulfilment logic, credit control and pricing rules still live in Business Central. Below: what syncs in each direction, the setup, and the three decisions that determine whether a wholesale shop on Shopify runs cleanly.
What syncs
| Direction | Object | Notes |
|---|---|---|
| BC → Shopify | Items, variants, prices, stock levels | By location; you decide which locations feed availability |
| BC → Shopify | B2B catalogs and price lists | From customer price groups and price lists in BC |
| Shopify → BC | Companies and locations | Become customers and ship-to addresses; tax IDs carried |
| Shopify → BC | B2B orders | Become sales orders with the right customer, prices and payment terms |
| Both | Order status, shipments, tracking | Fulfilment posted in BC updates Shopify |
| Shopify → BC | Returns, exchanges, refunds | Aligned in 29: a Shopify return creates the corresponding BC document |
| Shopify → BC | Payments and payouts | Reconciliation of Shopify payouts against invoices |
| BC → Shopify | Tariff codes, country of origin | For international B2B; feeds duty and customs |
The three decisions
1. Who owns the price? Business Central. Wholesale pricing in BC (customer price groups, line discounts, quantity breaks) pushes to Shopify catalogs. If your team also edits prices in Shopify, you'll have two truths within a week. Decide, and lock the other side.
2. Which stock feeds availability? Not all of it. Map only the locations that can actually ship to web orders; keep quarantine, returns and showroom stock out. Overselling a B2B customer is worse than overselling a consumer.
3. Credit and terms. Shopify B2B supports net terms; Business Central enforces credit limits. Decide whether an order over the limit is blocked in Shopify (via catalog eligibility) or held in BC for release. Both work; not deciding means neither happens.
Setup, in order
- Shopify Shop card in Business Central: connect the store (OAuth), choose sync directions per object.
- Locations mapping: which BC locations feed Shopify inventory.
- Item mapping: by SKU or barcode; decide whether BC creates items from Shopify products or only the reverse.
- Price groups → catalogs: assign customer price groups to Shopify catalogs; each B2B company sees its catalog.
- Company sync: enable B2B; map Shopify companies to existing BC customers by tax ID or create new ones with a template (posting groups, payment terms, salesperson).
- Order import: schedule, and set the customer template for unknown buyers.
- Tax: enable the tax-matching agent so Shopify-calculated tax reconciles with BC's; in the US this is where Avalara or Vertex sits.
- Returns: map Shopify return reasons to BC return reason codes.
Where it stops
- Fulfilment logic — warehouse picking, packing, carrier selection — is Business Central's job, or your WMS's. The connector moves the order; it doesn't pick it.
- Complex B2B rules (contract pricing with rebates, multi-tier approvals, quotes-to-order) live in BC and may need an extension to expose to Shopify.
- Marketplaces (Amazon, eBay) — separate connectors, not this one.
- Multiple Shopify stores — supported, each with its own shop card, but shared items need care.
FAQ
Do we need Shopify Plus for B2B? Shopify B2B features require Plus. The connector supports both B2C and B2B stores.
Can a customer see stock levels? Yes, from the locations you map. Many wholesalers show "in stock / low / out" rather than quantities.
What about Shopify Payments payouts? The connector imports payouts for reconciliation against invoices — bank rec becomes a match, not a search.
We have 40,000 SKUs. Sync only what you sell online; item categories or a flag on the item decide. Full-catalog sync is a common performance mistake.
Wholesale on Shopify and orders re-keyed into the ERP? Free assessment, no commitment — we'll configure the connector against your price groups and locations.
