Business Central Quality Management: inspections on receipt, production and warehouse — what the new extension does and how to set it up
Microsoft's Quality Management extension for Business Central adds inspection plans, quality orders and holds on purchase receipts, production output, assembly and warehouse — without a third-party app. What it covers, what it doesn't, how to configure it, and how it fits with lots and traceability.
Short answer: for years, quality inspection in Business Central meant a third-party app or a spreadsheet next to the system. In the 2026 release wave Microsoft shipped its own Quality Management extension: inspection plans defined per item and trigger, quality orders created automatically when goods are received, produced, assembled or moved, tests recorded with pass/fail results, and quality holds that keep material out of available stock until it's released. Version 29 tightened the loop: closing an inspection auto-fills approved and rejected quantities, and a posting blocked by an open inspection takes you straight to it. Here's what it covers, what it doesn't yet, and how to configure it.

Each inspection runs against an inspection plan: a list of tests (dimensional, visual, lab result, pass/fail, numeric within tolerance), sample size rules, and the disposition — release, reject, quarantine, rework.
What it doesn't cover (yet)
- Supplier scorecards and corrective actions (CAPA) — not in the extension; track through AppSource apps or a simple extension.
- Statistical process control charts — results are stored; charting is Power BI.
- Certificates of analysis generation — buildable from results with a report layout; not a button yet.
- Advanced sampling standards (AQL tables) — basic sampling only; complex plans need configuration or an app.
If your quality process is ISO-9001-style with inspections, holds and dispositions, the extension covers it. If it's pharmaceutical-grade with CAPA workflows and validated electronic signatures, look at a specialist app on top.
Setup, in order
- Install the extension from Extension Management (Microsoft-published; free with the licence).
- Quality Management Setup: number series for quality orders, default dispositions, whether inspections block posting or just warn.
- Test definitions: what you measure and how — numeric with min/max, pass/fail, text. Reusable across plans.
- Inspection plans: per item, item category or vendor; which trigger creates the order; which tests apply; sample quantity.
- Item setup: assign the plan; decide whether the item requires inspection on every receipt or by rule (e.g., new vendor, first three lots).
- Locations: define the quarantine bin or location where held goods sit.
- Permissions: who can record results, who can release, who can override.
The flow, day to day
Receiving posts a purchase receipt → a quality order appears in the inspector's list → goods sit in quarantine, unavailable to sales and production → tests recorded on the order → close the inspection → approved quantity releases to stock, rejected quantity goes to the disposition (return to vendor, scrap, rework). Version 29 fills those quantities from the results automatically, so closing is one action.
If someone tries to ship or consume a lot with an open inspection, the posting error now links to the blocking inspection — no hunting.
Where it pays
- Food, chemicals, pharma-adjacent, components: incoming inspection with holds is the difference between an audit finding and a clean audit.
- Lot traceability: results attach to the lot, so a recall query returns the inspection history.
- Supplier management: rejected quantities by vendor become a Power BI report — the data for the scorecard the extension doesn't draw.
- Cost of quality: rejected and reworked quantities feed the quote-to-actual variance — which is where quality problems become a number.
FAQ
Do I need Premium? The extension works with Essentials for receipt and warehouse inspections; production and assembly inspections need Premium because production does.
We already use a third-party quality app. Compare feature by feature; the Microsoft extension may cover what you use and remove a subscription. Or it may not — CAPA and SPC are the usual reasons to keep the app.
Can inspection results feed a certificate for the customer? Yes, with a report layout over the results. It's a common small extension we build.
Does this exist in Spanish and other localizations? It's a global extension; the UI is translated with the product.
