What a farm cooperative needs from its ERP: members with plots and equity, harvest deliveries by grade, packing with traceability, supplies charged to members, marketing, advances and season settlements per member. With the whole cycle in 3D.

Short answer: in a cooperative, the member is both a supplier (delivering the crop) and a customer (buying supplies). The ERP has to keep the member's full account: deliveries with their grade, supplies charged, advances paid and, at season end, a settlement with a statement. The co-op also sells to retail chains and exports, so every lot sold must trace back to the members who delivered it. Walk through the whole cycle below and see what happens when a customer rejects a lot.

Working demo: The whole cycle of your sector. Walk the eight stages of your sector in 3D (construction, logistics, fashion, retail, industrial supply, metal, engineering, cosmetics and labs, plastics, olive oil mills, canneries, farm co-ops or service stations), see what Business Central records at each one and try the scenarios where something goes wrong. The whole cycle of a season

  1. Members and plots: each member with plots, crops and equity.
  2. Harvest deliveries: weight, grade and size of each delivery.
  3. Packing house: grading and lots, traceable from member to customer.
  4. Member supplies: fertiliser, crop protection, seed and fuel charged to their account.
  5. Marketing: retail chains, wholesalers and export.
  6. Advances on account during the season.
  7. Season settlement: final price by product and grade, minus advances and supplies.
  8. Results by crop and member.

What the ERP has to do

In the US, cooperatives also allocate patronage refunds to members and report them on Form 1099-PATR; the allocation comes from the same delivery and purchase data. For produce traceability rules, see FSMA 204 for produce and seafood distributors.

What Business Central has and what is added

Customers and vendors, purchasing, sales, lots, manufacturing, warehouse and finance are standard. The member record with equity, deliveries by season, pool settlements with statements and patronage allocation come from a cooperative add-on.

How we implement it

We start before the season: members with their plots, products and grades, the supplies price list and the settlement rules. During the season, deliveries and supplies go into the ERP from day one, and the first settlement is checked against the one your old system would have produced. You pay for each phase only after it is delivered and you accept that it works.

Signs you need it now: settlements are done in spreadsheets; supplies are deducted by hand; or after a claim you cannot tell which members delivered that lot.

FAQ

Can a member be a customer and a vendor at once? Yes. Business Central can link the member's customer and vendor records and offset balances in the settlement.

Can advances be paid during the season? Yes. Each advance is posted against the member's final settlement.

Can a lot sold be traced back to members? Yes, with lot tracing from delivery to the customer shipment.
