What an olive oil mill needs from its ERP: olive intake by grower, oil yield, milling, tanks by grade, monthly regulatory returns, bottling, grower settlements and bulk sales. With the whole cycle in 3D.
Short answer: an olive oil mill needs an ERP that follows the olives from the weighbridge to the tank and the sale. It records every delivery by grower with its oil yield and keeps every tank with its grade: extra virgin, virgin or lampante. Monthly returns come from real movements, and at the end of the season each grower is settled on the oil their olives produced. Walk through the whole cycle below and see what happens when a tank tests high on acidity.
The whole cycle of a season
- Olive intake: weighed by grower, with variety and tree or ground olives.
- Oil yield: a lab sample gives yield and acidity for each lot.
- Milling: malaxing and decanting; oil goes to a tank by grade and pomace leaves as a by-product.
- Cellar and tanks: each tank with its grade. Extra virgin olive oil must have free acidity of no more than 0.8%.
- Monthly returns: intake, production, stock and sales, taken from posted movements.
- Bottling: bottles and cans with lot and best-before date.
- Grower settlement: paid on kilos of oil by yield and quality, minus advances.
- Bulk and export sales, with lot from the tank.
What the ERP has to do
- Intake by grower and plot, with the weighbridge connected and the lab result attached.
- Tanks as locations with grade, lot and acidity, and reclassification when the grade changes.
- Monthly returns that balance with real stock, not a separate spreadsheet.
- Season settlements with advances, withholdings and, for co-op members, their account.
- Traceability from tank to bottle and to bulk customers.
If the mill is a cooperative, see ERP for agricultural cooperatives. For exports to the US, traceability rules for food are covered in FSMA 204 for produce and seafood distributors.
What Business Central has and what is added
Purchasing, manufacturing, lots, locations, bottling, sales and finance are standard. Olive intake with yield, grower settlements per season and monthly returns in the regulator's format come from an add-on.
How we implement it
We start before the season: growers and plots, tanks with their grades, the settlement price list and a connected weighbridge. During the first season, deliveries go into the ERP from day one, and the first monthly return is the test that everything balances. You pay for each phase only after it is delivered and you accept that it works.
Signs you need it now: grower settlements are done in spreadsheets; the monthly return does not match the tanks; or you cannot say which growers' olives filled a tank.
FAQ
Can each tank be tracked with its grade? Yes, as a location with a lot. If a test changes the grade, the oil is reclassified and that lot's settlement is recalculated.
How are growers settled? On kilos of oil (kilos of olives times yield) and quality, minus advances and withholdings, with a statement for each grower.
Does it work for private mills and cooperatives? Yes. What changes is who is settled (a supplier or a member) and how they are paid.
