How to connect Business Central to HMRC, retrieve VAT obligations, build and submit a VAT Return under Making Tax Digital, handle the fraud-prevention headers, and fix the errors HMRC returns — including what to do when a period was filed elsewhere. UK-specific, step by step.
Short answer: Making Tax Digital for VAT is handled natively in the UK localization of Business Central — no third-party bridging software. The flow is: enable the MTD feature in VAT Report Setup, authorise Business Central with HMRC through an OAuth window using your Government Gateway credentials, retrieve your VAT obligations (the periods HMRC expects), create a VAT Return for a period, let the system suggest the nine boxes from posted VAT entries, release, and submit. HMRC answers with a receipt and the return is locked. Below: the exact pages, the sequence, what the fraud-prevention headers are and why you don't have to build them, and the errors you will actually see.
Before you start
- UK localization. The MTD functionality ships with the GB version of Business Central. If your company was created on another localization, MTD isn't there — that's a company-level decision, not a setting.
- VAT registration number on Company Information, in the exact format HMRC holds.
- Government Gateway user ID and password for the business, enrolled for MTD VAT with HMRC. If HMRC hasn't enrolled you, Business Central can't submit, whatever you configure.
- VAT Statement configured. The nine boxes are calculated from your VAT Statement; if it was never set up properly, the suggestion will be wrong and the submission will be wrong. Check this first.
1. Enable MTD
Search VAT Report Setup.
- On the Making Tax Digital FastTab, set Enable MTD on. Fill the VAT Return Period settings as HMRC has them (usually quarterly).
- In Return Period, set the reminder and the number of days before the due date you want the notification.
- In Report Version, the MTD version is selected by default in current versions; leave it.
2. Authorise with HMRC (the OAuth step)
Search Service Connections → HMRC VAT Setup.
Click Authorize (or Request Authorization Code, depending on version). A browser window opens on HMRC's site. Sign in with the business Government Gateway account — not a personal one, and not your agent's unless you are filing as agent — and grant access. Copy the code back if prompted.
What just happened: Business Central obtained an OAuth token it will refresh itself. In the cloud, Microsoft holds the HMRC client credentials — you do not create an HMRC developer account or register an application. That's a common confusion carried over from on-premises guides.
Test it: click Get VAT Return Periods on the setup page. If obligations appear, the connection works.
3. Retrieve obligations
Search VAT Return Periods → Get VAT Return Periods. Each line is a period HMRC expects a return for, with status Open or Fulfilled and the due date. You submit against these periods; you do not invent your own. If the period you expect isn't listed, HMRC doesn't have you enrolled for it — stop and call them, don't try to force it.
4. Create and populate the return
From the open period, choose Create VAT Return. Then, on the VAT Return card:
- Suggest Lines — pulls the nine boxes from posted VAT entries via your VAT Statement, for the period dates.
- Check the figures against your VAT Statement preview and your own reconciliation. Box 1 (VAT due on sales), Box 4 (VAT reclaimed), Box 5 (net), Boxes 6-9 (values excluding VAT). This is the last moment to catch a mis-posted VAT posting group.
- Release. Locks the return for editing.
Corrections before release: fix the underlying postings (VAT entries), then Suggest Lines again. Don't edit boxes by hand unless you have a documented reason — HMRC expects the figures to come from your records.
5. Submit
Submit on the released return. Business Central sends the nine boxes to HMRC with the required fraud-prevention headers (HMRC's anti-fraud metadata: device, connection method, timestamps and similar). In the cloud these are assembled automatically — you don't build them, but you also can't remove them. If your company blocks the outbound call, the submission fails; that's the first thing to check on a 403.
HMRC responds with a receipt ID and timestamp, stored on the return. Status becomes Accepted. That's your proof of filing.
6. Afterwards
- VAT Settlement: run Calculate and Post VAT Settlement for the period to close the VAT entries into the settlement account, as you did before MTD. MTD changes how you file, not how you settle.
- Payments and liabilities: Get VAT Payments and Get VAT Liabilities on the periods page pull what HMRC recorded — useful for reconciling, not required.
- Keep the period's records: MTD requires digital records to be kept; posted VAT entries in Business Central are exactly that.

What changes when you migrate from Sage or Xero
If you are moving off Sage 50, Sage 200 or Xero: the HMRC side doesn't care which software submits, but it does care that each period is filed once. Plan the cutover at a period boundary. File the last period from the old system, then authorise Business Central and submit the next one from there. Two systems fighting over the same period is the most common MTD migration mistake, and HMRC's correction process is slow.
FAQ
Do I need bridging software? No. The UK localization submits directly. Bridging software exists for companies whose accounting system can't — Business Central can.
Can our accountant submit on our behalf? Yes, if they authorise with their agent credentials and you're linked as their client at HMRC. The Business Central steps are the same.
We have several UK companies. Each company authorises separately with its own VRN. There's no group submission unless you're a VAT group at HMRC — in which case one company files for the group.
Is the on-premises setup the same? Mostly — but on-premises you register your own application with HMRC and manage the client credentials. This guide is for the cloud.
